Exchange consolidation and migration
Exchange consolidation is the process by which multiple Exchange environments are combined into a single integrated and more manageable solution. This process can be done in a variety of ways, depending on the needs of the organization and its structure.
The consolidation is aimed at simplifying email management, increasing efficiency and security, and reducing costs associated with the postal infrastructure:
- Hybrid - Establish a relationship between different Exchange environments (e.g., on-premise and cloud) to allow sharing of resources. Hybrid relationships are most commonly used in situations where an organization wants to migrate from Exchange on-premise to the cloud gradually, without interrupting daily operations.
- Mailbox and resource migration - Move users, mailboxes, calendars and resources to the target Exchange environment.
- Standardization - Standardize security policies, settings and management standards across different Exchange environments. Standardization can include rules for archiving, mailbox sizing, distribution group management and data retention policies.
- Upgrade - Upgrade older versions of Exchange to newer, vendor-supported versions. In some cases, this may mean migrating from Exchange on-premise to Exchange Online (part of Microsoft 365).
What does the process look like?
Preliminary analysis
In this step, existing Exchange environments, their configuration, software versions, the number of mailboxes and resources that need to be migrated are analyzed. A so-called Motherfile is prepared, in which all objects to be migrated are listed. Business and technical goals related to the consolidation, migration are also defined.
Planning and design
At this stage, a detailed consolidation, migration plan is developed, taking into account the needs of the organization. Choosing the right approach - migrating mailboxes, combining on-premise and cloud environments, or reorganizing the Exchange structure - is crucial to the success of the project.
Preparation of the environment
This stage includes activities to prepare the Exchange infrastructure for the consolidation or migration process:
- Upgrading systems: making sure all Exchange servers are upgraded to compatible and required versions.
- Replication and synchronization: Ensure proper synchronization of mailboxes, accounts, and data replication between environments before migration begins.
- Tool preparation: Installing and configuring migration tools and other tools required for moving data and testing the environment.
- Securing the environment: Conduct a security review of the environment to detect configuration errors. Possible compliance fixes.
- Backup: Perform full backups of all key AD servers and data to enable easy recovery in case of problems.
Post-implementation testing and evaluation
After the migration, tests are conducted to check the operation of the new environment. These tests include the functioning of mailboxes, their contents, access to calendars and policy compliance. Technical documentation with instructions for administrators is also created and provided to the client.
