e-Invoices - an application for handling cost invoices
e-Invoices is an application for the automated management of cost invoices. The application enables comprehensive invoice processing, from registration and approval workflows to posting and reporting.
As part of the implementation, we provide integration with the company’s existing financial and accounting systems or ERP platforms, as well as with KSeF (National e-Invoicing System, mandatory from February 1, 2026). We also assist in preparing the necessary reports.
The e-Invoices application is built on Microsoft 365 and Power Platform technologies, allowing companies already using MS365 business plans to leverage their existing licenses to operate the application.
Main Functionalities
Invoice Registration from All Sources
The application supports all channels of invoice registration:
- e-mail,
- folders,
- OCR (Optical Character Recognition),
- KSeF,
- manual entry
Transparent Reporting of Key Information
All key invoice information can be visualized in the form of easy-to-read reports available within Microsoft Power BI. Example reports include:
- The number of invoices at each stage of service,
- invoice volume over time,
- types of invoices,
- Distribution of invoices by contractors, projects, etc.
Automatic Posting of Invoices
Once approved, invoices can be automatically transferred to financial or ERP systems for posting—such as SAP, Microsoft Dynamics 365, or other online or on-premises platforms. We provide comprehensive integration as part of the implementation process.
Invoice Approval According to Company Policies
The e-Invoices application includes a built-in approval mechanism that supports multi-level and multi-dimensional workflows (also known as approval matrices). Approval paths can be configured based on the organizational structure, invoice amounts, projects, cost centers (MPKs), and more. The application can also integrate with external systems that manage approval workflows. During the approval process, users have convenient access to invoice previews and all related attachments. Notifications and delegation mechanisms ensure smooth invoice processing, even when key personnel are unavailable.
How do we implement the e-Invoicing application?

Benefits of Implementing e-Invoices
Save Time and Reduce Costs
Implementing the e-Invoices application eliminates manual invoice processing. Automation reduces staff workload, minimizes document handling costs, and improves process efficiency. Additionally, the electronic workflow simplifies audits and inspections, as all data is centralized and easily accessible on demand.
Increased Efficiency and Transparency
With an electronic invoice workflow, invoices can be easily tracked, and delays or errors can be quickly identified and addressed. The e-Invoices application also provides tools for automatic data analysis, enabling more effective financial management.
Regulatory Compliance and Data Security
The e-Invoices application ensures compliance with legal requirements related to invoice processing, KSeF regulations, and document storage policies. The application is also secured against unauthorized access, enhancing the overall security of company data.
Frequent questions and answers
The application is based on Microsoft's low-code technologies, so it can be quickly implemented and quickly adapted to changing requirements or regulations - even by trained internal users within the company.
For companies that already use the Microsoft environment, the application will be a natural part of that environment, which definitely makes it easier to adapt the solution in the company.
With constant Microsoft updates, the app provides access to the latest Microsoft technologies, keeping the app constantly up-to-date.
The e-Invoices application is built and configured based on low-code technology available within Microsoft 365 and Power Platform tools, so the implementation time is much faster than if the application was built using the traditional method (by coding). The average deployment time is only 2.5 months.
The cost of implementing an e-Invoice application depends on several factors - including the complexity of the various stages of the process, the complexity of the acceptance matrix or the extent of integration. It usually oscillates from several tens of thousands of zlotys to 150 thousand zlotys. We invite you to a free valuation of the application for you.
In the vast majority of cases, yes, so the cost of maintaining the application can be lower than for solutions based on external licenses. Final confirmation can be made after reviewing your process requirements and the type of active licenses.
Yes. The e-Invoice application is already integrated with the currently available KSeF schema. This integration will be updated as soon as the Ministry of Finance makes the new integration schema available.
Azure Services' OCR service is used for OCR. Thanks to the use of neural networks and the ability to "train" the application to recognize new invoice templates, the OCR functionality features a high level of character recognition - even Polish characters written by hand.
