e-Invoices - an application for handling cost invoices
e-Invoices is an application for the automated management of cost invoices. The application allows you to fully handle an invoice from registration, through any approval path to posting and reporting.
As part of the application implementation, we provide integration with the company's existing financial and accounting or ERP system and KSeF (National e-Invoicing System, which will be mandatory as of February 1, 2026). We also help you prepare the necessary reports.
The e-Invoices application is based on Microsoft 365 and Power Platform technologies, so that in companies already using MS365 business plans it is possible to use the company's existing licenses to work in the application.
Main Functionalities
Invoice Registration from All Sources
The application supports all channels of invoice registration:
- e-mail,
- folders,
- OCR (Optical Character Recognition),
- KSeF,
- manual entry
Transparent Reporting of Key Information
All key invoice information can be visualized in the form of easy-to-read reports available within Microsoft Power BI. Example reports include:
- The number of invoices at each stage of service,
- number of invoices over time,
- types of invoices,
- Distribution of invoices by contractors, projects, etc.
Automatic Posting of Invoices
Once approved, the invoice can be automatically transferred to a financial/ ERP system for posting - such as SAP, Microsoft Dynamics 365 or other online or local systems. As part of the implementation, we provide the appropriate scope of integration.
Acceptance of invoices according to company rules
The e-Invoice application has a built-in acceptance mechanism, which can be multi-level and multi-dimensional (so-called acceptance matrices). Acceptance paths can be linked to organizational structure, invoice amounts, projects, MPKs, etc. The application can also integrate with external systems providing acceptance paths in this regard.During invoice acceptance, a convenient preview of the invoice and all its attachments is available.Acceptance uses notifications and a substitution mechanism, so that invoices can be handled smoothly regardless of the current availability of individuals.
How do we implement the e-Invoicing application?

Benefits of implementing e-Invoice
Save Time and Reduce Costs
Implementation of the e-Invoice application eliminates manual processing of invoices. All operations are automated, saving staff time and reducing costs associated with time and document logistics. In addition, the electronic process facilitates audits and inspections, as all data is collected in one place and can be easily accessed on demand.
Increased efficiency and transparency in the process
With electronic invoice workflow, invoices can be easily tracked, and any delays or errors can be quickly identified and corrected. In addition, the e-Invoices application offers tools to automatically analyze data, enabling better management of company finances.
Regulatory compliance and data security
The e-Invoice application ensures compliance with legal regulations on invoice handling, KSeF and document storage. In addition, the application is secured against unauthorized access, which increases the security of company data.
Frequent questions and answers
The application is based on Microsoft's low-code technologies, so it can be quickly implemented and quickly adapted to changing requirements or regulations - even by trained internal users within the company.
For companies that already use the Microsoft environment, the application will be a natural part of that environment, which definitely makes it easier to adapt the solution in the company.
With constant Microsoft updates, the app provides access to the latest Microsoft technologies, keeping the app constantly up-to-date.
The e-Invoices application is built and configured based on low-code technology available within Microsoft 365 and Power Platform tools, so the implementation time is much faster than if the application was built using the traditional method (by coding). The average deployment time is only 2.5 months.
The cost of implementing an e-Invoice application depends on several factors - including the complexity of the various stages of the process, the complexity of the acceptance matrix or the extent of integration. It usually oscillates from several tens of thousands of zlotys to 150 thousand zlotys. We invite you to a free valuation of the application for you.
In the vast majority of cases, yes, so the cost of maintaining the application can be lower than for solutions based on external licenses. Final confirmation can be made after reviewing your process requirements and the type of active licenses.
Yes. The e-Invoice application is already integrated with the currently available KSeF schema. This integration will be updated as soon as the Ministry of Finance makes the new integration schema available.
Azure Services„ OCR service is used for OCR. Thanks to the use of neural networks and the ability to ”train" the application to recognize new invoice templates, the OCR functionality features a high level of character recognition - even Polish characters written by hand.
