How do I find out if my organization is actually overpaying for storage?
In the Microsoft 365 administration center (admin.microsoft.com → SharePoint → Active sites) you can see the total space consumption and compare it with the allocated pool (1 TB + 10 GB - number of users). If the consumption exceeds 70-80% of the pool or you are already paying for the excess - it is worth auditing. We will do this for you free of charge at the preliminary analysis stage.
Is it safe to delete file versions? What if someone needs the old version?
Yes - before any operation, we set a configurable history threshold (e.g. last 30 versions or 6 months) with your IT. Versions older than the threshold are deleted, and shorter history is retained in its entirety. We never delete any data without written approval of the scope by the client. Site archiving (Phase 2) preserves content availability - sites can still be browsed, just not actively indexed.
How long does the whole project take?
Phase 1 (audit) usually takes 1-2 weeks. Quick Wins from Phase 2 (version removal, site archiving) can be accomplished in another 2-4 weeks after plan approval. Full reconfiguration of the environment depends on the complexity - in enterprise organizations with multiple sites and Purview requirements, it can be 6-10 weeks.
What happens if the space starts to fill up fast again?
Implemented lifecycle policies and version limits slow down storage build-up by 70-90% compared to the pre-project state. If you want ongoing control, the Governance & Monitoring (Phase 3) subscription provides monthly reports and quarterly review sessions - so you'll never be surprised by the colorful bar in the admin center.
Do you support multitenant environments (holding companies, subsidiaries)?
Yes. We handle multitenant and multi-geo environments (holding companies, post-acquisition companies, subsidiaries) as a service. Each tenant is a separate analysis, but we coordinate the entire project - mapping of content owners, coordination of the cleaning process between IT and business, and aggregate reporting for the group.
